Site Assistant

Join us in this role where you’ll provide essential administrative and operational support for our site, acting as a central point of coordination for purchasing related activities, training activities, onboarding, site inductions and daily site operations. You’ll help ensure our teams have what they need to perform safely and effectively, today and in the future.

 

Welcome to Operations
You’ll be part of our site support team where you, together with your colleagues, will support operational purchasing activities, assist visitors, manage site administration, track trainings expiry dates, book trainings, help in onboarding activities across the site. You’ll collaborate closely with functions such as procurement, planning, HSE, and site management to support structured, compliant, and efficient operations.

You’ll play an important role in:

  • managing operational purchasing, processing invoices, and following up on purchase orders in collaboration with procurement
  • coordinating training, onboarding activities, courses, and medical appointments, and ensuring updates in relevant systems
  • supporting competence and training administration by booking training, coordinating logistics, and maintaining accurate records
  • assisting with local administration, including visitor support, travel booking, phone enquiries, and ordering IT equipment, workwear, and PPE
  • providing administrative support to the Head of Site, including organising meetings, supporting expense handling, and minute taking
  • managing reporting tasks related to training, compliance, tax, sustainability, and payroll data extraction.

 

To succeed in the role, you:

  • have a relevant education (business administration) or relevant experience matching the duties described above
  • bring experience providing administrative or coordination support, ideally within an operational or site based environment
  • are structured, proactive, and comfortable coordinating training, onboarding, or development related activities
  • communicate clearly and collaborate well with stakeholders across teams and functions
  • are confident using MS Word, Excel, and Outlook, SAP and enjoy organizing tasks in a dynamic environment
  • are fluent in English, spoken and written.
